When submissions come in daily across multiple forms, a flat list of entries with no status indication makes it impossible to know what has been reviewed and what has not. Scrolling through entries looking for unread messages is not a workflow, it is wasted time.

Form Vibes Pro’s Submission Status feature marks every entry as Read, Unread, or Spam with colour-coded indicators. Filter the submissions table by status and you have a clean triage queue, new entries at the top, reviewed ones marked, spam separated before deletion.

What Is Submission Status in Form Vibes Pro?

Submission Status assigns one of three states to every captured form entry. Each state has a distinct colour indicator so you can scan the submissions table and know the review state of every entry at a glance.

Unread is the default state for every new submission when it arrives. The status button appears in blue. An unread entry has not yet been reviewed by anyone on your team.

Read marks an entry as reviewed. The status button turns green. Use this once you have actioned an entry, replied to an enquiry, passed a lead to sales, or confirmed a booking.

Spam flags an entry as unwanted. The status button turns red. Use this for submissions that passed your form’s anti-spam checks but are clearly not genuine, before deciding whether to delete them.

Enabling the Status Module

Before any status controls appear in the submissions table, the Status module must be enabled in your Form Vibes settings.

Go to Form Vibes > Settings in your WordPress admin. Find the Status module toggle and switch it on. Click Save Settings.

Once saved, the Status button appears on every entry row in the submissions table. If you navigate to Form Vibes > Submissions before enabling the module, the Status button will not be visible.

Marking a Single Entry by Status

Go to Form Vibes > Submissions and locate the entry you want to mark. Each row has a Status button on the right side showing the current state in its corresponding colour.

Click the Status button on the entry row. A small dropdown appears with three options – Read, Unread, and Spam. Select the appropriate status and the button updates immediately to reflect the new state with the corresponding colour.

Use Read when you have reviewed and actioned an entry. Use Spam when a submission passed your form plugin’s anti-spam filters but is clearly not a genuine enquiry. Use Unread to reset an entry’s status if it needs a second review.

Marking Multiple Entries by Status in Bulk

When you need to mark several entries at once clearing a backlog after a campaign, marking all last week’s enquiries as Read after a team review session, or flagging a batch of suspected spam bulk status marking saves significant time.

Select the entries you want to update using the checkboxes on the left side of each row. To select all entries on the current page, use the checkbox at the top of the column. Once your entries are selected, click the Action button in the Form Vibes toolbar above the table. Select Status from the dropdown.

Then, choose the status you want to apply, and click Apply. All selected entries update to the chosen status simultaneously. The status buttons on each row refresh to the new colour immediately.

Can You Filter Submissions by Status?

Yes, the Form Vibes submissions table includes a Status filter that lets you narrow down the entry list and view only submissions matching a specific status.

Simply select the desired status from the filter options and click Apply Filter to display the relevant entries.

Filter selections persist between sessions. The table reopens to the same status filter on your next visit, so you do not have to reset your view each time you return to the submissions dashboard.

Who Can View and Change Submission Status?

By default, anyone with access to Form Vibes can see and change submission status. Form Vibes Pro’s Role Manager gives you granular control over this.

Under Form Vibes > Settings > Role Manager, two separate permissions apply to the Status feature. View Status controls which user roles can see the status column and status indicators in the submissions table. Change Status controls which user roles can actually modify an entry’s status.

These permissions are set independently per WordPress user role – Administrator, Editor, Author, Contributor, and Subscriber.
